In preparation for an upcoming school year, it’s important for Atlas System Administrators to make a few adjustments to the site after your annual curriculum archive.
Steps 1-2 below are site-wide adjustments that apply to all schools in your system. Steps 3-5 are school-specific and we recommend a different admin at each school level (e.g., elementary, middle, high) complete these to spread out the workload. To complete these updates in the most efficient way possible, we recommend you follow the checklist below in order:
1. Update the Academic Calendar
Adjust the Academic Calendar for the upcoming year, through the Annual Site Maintenance section of the Admin Dashboard. Update the Start and End dates, add any Key Academic Dates (to mark the end of terms or semesters), and uncheck holiday weeks. Be sure to Save your changes.

With the exception of Key Academic Dates (which can be specified by school), this calendar will be used by teachers at all grade levels.
2. Set the new Archive Date
Next, set a new date for your annual archive, also found in the Annual Site Maintenance section of your Admin Dashboard. On each archive date, Atlas automatically saves a copy of all curriculum in your system for future reference. Archived maps include all curriculum including Standards, Assessments, Links, etc. Simultaneously, all curriculum is copied forward into next year’s courses allowing Teachers to adjust or continue developing course curriculum for the new set of students.

The Archive date is a system-wide setting, so be sure to check with leadership at all school levels before making this change.
3. Add any new teachers
Under Admin>Manage Users, click Add New User for each new faculty that will be joining your school this year. Be sure to include an accurate email address so each teacher can receive Atlas notifications and password resets. If you have more than 15 new teachers to add, you might find it quicker to import new users using a .CSV spreadsheet. Simply click the Import Users button and follow the instructions.

Either way you approach it, look for the option to "Send Welcome Email" to new teachers, to save you the step of having to email new users the Atlas login information.
DO NOT change an existing user's account and repurpose it for another user. This will cause login issues for the new user.
4. Delete the accounts of teachers no longer at your school
Now you can delete teachers who have left your school. Browse through the user list, or type a few letters of a user's name into Find users, and click X Delete to remove the user account. If this user has courses assigned to them, you will see an option to assign the courses to a different Teacher before deleting their account.
Deleting teachers from Atlas will NEVER delete courses from your system. Courses with no teachers assigned will remain visible on your course list until new teachers are assigned, or the course is recycled.
5. Update remaining Course Assignments
Under Admin>Manage Courses, you may still need to adjust course assignments for teachers who are switching grade levels or teaching different courses in the upcoming year. This is best done by Grade or by Subject. Use the filters to limit the number of courses to work with, hover over the Developers and Teachers columns to see current assignments, then use the Edit pencil to change the teaching assignments. Then repeat for each grade/subject necessary.

At this time you should also delete any courses that are not being taught in the upcoming year. Deleted courses go into a Recycle Bin in case you ever need to restore them. Deleting courses will NOT affect existing curriculum archives.
Course Developers have full editing rights over course curriculum. Course Teachers can only add Lesson Plans into existing units.
DO NOT change the Title, Subject, or Grade of existing courses. This will result in incorrectly-labeled curriculum.
